1. Introduction
TalkiSign is developed by TalkiTale ApS, a Danish company dedicated to creating tools that support people with communication disabilities through sign recognition and assistive communication technology.
We respect your privacy and are committed to handling your personal data responsibly and transparently.
This policy explains what information we collect, how it is used, and your rights under the EU General Data Protection Regulation (GDPR).

TalkiTale ApS is the data controller for the personal data processed by the TalkiSign app and associated services.
3. Data we collect and how we use it
a. Live sign recognition

When recognizing signs that are already available on your device, the app uses your device’s camera to analyze the sign in real time.

This processing takes place locally on your device. No video or image data from live recognition is stored or sent to TalkiTale’s servers.
b. Recording new signs

You can choose to record new signs or variants (e.g. personalized signs for an individual user).

When you save a sign, the following data is sent securely to TalkiTale’s servers:

The recorded video of the sign

The name of the sign and any additional information you provide about the sign, such as a symbol (image) to represent the sign

This data is uploaded only when you save the sign.
c. Word lists and sharing

To upload new signs, an account owner must create a word list (e.g. for a specific person or purpose). Uploaded signs belong to that word list.

Each word list is private to its owner and any individuals the owner explicitly shares it with (for example, other caregivers).

TalkiTale does not share this data with any third parties and does not make it publicly available.
d. Analytics and diagnostics

We may collect anonymous technical data about your device and app usage (such as device type, operating system version, crash reports or basic app usage metrics) to maintain and improve app performance and to provide technical support when problems occur.

This data does not contain any personal information or video content.
4. How and where your data is stored

All data uploaded to TalkiTale’s services is stored on servers located entirely within the European Union (EU). No data is transferred outside Europe.

Uploaded videos and associated metadata are stored securely and encrypted at rest and in transit.

We use trusted European cloud providers that are fully GDPR-compliant.

TalkiTale uses subcontractors (“data processors”) for hosting, maintenance, and related technical services. All subcontractors process data only on behalf of TalkiTale and are bound by data processing agreements (DPA) in compliance with the GDPR. A list of current data processors can be provided upon request by contacting privacy@talkitale.com.
5. What we do not do

We do not use uploaded signs, videos or images to train AI models or for machine learning.

We do not sell, rent, or otherwise share personal data with third parties.

We do not process live camera input on our servers.

We do not track users across other apps or websites.
- The TalkiSign app does not contain advertisements.
6. Legal basis for processing
We process your data under one or more of the following GDPR legal bases:

Consent (Article 6(1)(a)) – for recording and uploading new signs.

Performance of a contract (Article 6(1)(b)) – for providing the TalkiSign service.

Legitimate interest (Article 6(1)(f)) – for improving app reliability and security.
You can withdraw your consent for uploads or delete your data at any time (see section 8).
7. Data retention

Uploaded signs and related data remain stored until the account owner or another user authorized by the account owner, deletes them or requests removal.

Live recognition data is never stored.

Diagnostic and analytics data is kept only as long as necessary to maintain and improve the app.
- We retain limited technical and account-related information in security and audit logs to ensure the security, integrity and proper operation of the service. This information may be used for security monitoring, compliance and customer support. Access to these logs is restricted to authorized personnel only. If an account is deleted, such logs are retained only to the extent required for legitimate security, compliance and support purposes.

9. Security
We use appropriate technical and organizational measures to protect your data, including encryption, access control, and secure transmission protocols. However, no digital system is completely immune to risks, and users are encouraged to use secure devices and networks.
Please note that TalkiSign is not intended for storing sensitive personal data, such as:

Civil registration numbers (CPR/social security numbers)

Health or medical information

Financial information
We recommend that users avoid entering such sensitive information in free text fields.
TalkiTale does not review or monitor user-entered content and cannot take responsibility for personal data voluntarily entered by users in violation of this recommendation.
10. Children and users with disabilities
TalkiSign is designed to support communication for children and adults with communication disabilities, and it may be used by these individuals as part of communication, daily interaction and learning.
Only the responsible account owner and users authorized by the responsible account owner can manage recordings, create or upload new signs, and control who has access to shared word lists. Any video recordings or other uploaded data are therefore submitted under the responsibility of the account owner, who ensures that the individuals involved have appropriate consent where required (for example, parental or guardian consent for children).
TalkiTale does not independently collect data directly from children and does not contact users through the app.
11. Changes to this policy
We may update this policy periodically to reflect improvements or legal changes.
If we make significant updates, we will notify users via the app or email before changes take effect.
