1. Introduction

TalkiHand is developed by TalkiTale ApS, a Danish company dedicated to creating digital tools that support people with communication disabilities.

We respect your privacy and are committed to handling your personal data responsibly and transparently. This policy explains what information we collect, how it is used, and your rights under the EU General Data Protection Regulation (GDPR).

TalkiTale ApS is the data controller for the personal data processed through the TalkiHand app and associated services.

3. Data we collect and how we use it

a. Account-related information

To verify access status, we process information related to your account, including your email, password and device ID (anonymized).

b. Creating new signs

You can choose to record new signs or variants (for example, personalized signs for an individual user). When you save or edit a sign, the following data is sent securely to TalkiTale’s servers:

  • The recorded video of the sign
  • An image, such as a photo, representing the sign
  • The name of the sign and any additional information you provide about the sign

c. Word lists and sharing

All uploaded signs belong to a word list, which is private to the word list owner and any individuals the owner explicitly shares it with, for example other caregivers.

TalkiTale does not share word lists or recorded personal signs with any third parties and does not make them publicly available.

TalkiTale’s authorized employees may, to a limited extent, access uploaded signs and associated data when necessary to provide support, troubleshoot problems or improve the functionality of the service. Such access takes place only as needed and in accordance with applicable data protection rules.

d. Analytics and diagnostics

We may collect anonymous technical data about your device and app usage, such as device type, operating system version, crash reports or basic app usage metrics, to maintain and improve app performance and to provide technical support when problems occur.

This data does not contain any personal information or video content.

4. How and where your data is stored

All data uploaded to TalkiTale’s services is stored on servers located entirely within the European Union (EU). No data is transferred outside Europe.

Uploaded images, videos and associated metadata are stored securely and encrypted at rest and in transit.

We use trusted European cloud providers that are GDPR-compliant.

TalkiTale uses subcontractors (“data processors”) for hosting, maintenance and related technical services. All data processors act only on behalf of TalkiTale and are bound by data processing agreements (DPA) in compliance with the GDPR. A list of current data processors can be provided upon request by contacting privacy@talkitale.com.

5. What we do not do

  • TalkiTale does not use uploaded data to train AI models or for machine learning that is shared with third parties or used across users, other than the users with whom the owner of a word list has chosen to share that word list.
  • TalkiTale does not sell, rent or share personal data with third parties.
  • The TalkiHand app does not track users across other apps or websites.
  • The TalkiHand app does not contain advertisements.

6. Legal basis for processing

We process your data under one or more of the following GDPR legal bases:

  • Consent (Article 6(1)(a)) – for recording and uploading new signs.
  • Performance of a contract (Article 6(1)(b)) – for providing the TalkiHand service.
  • Legitimate interest (Article 6(1)(f)) – for improving app reliability and security.

You can withdraw your consent or delete your data at any time (see section 8).

7. Data retention

Uploaded signs and related data remain stored until the word list owner or another user authorized by the word list owner deletes them or requests removal. If a user account is deleted, all associated data is deleted, including word lists owned by that user and the signs included in them.

Diagnostic and analytics data is kept only as long as necessary to maintain and improve the app.

We retain limited technical, account-related and system-related information in security and audit logs to ensure the security, integrity and proper operation of the service. This information may be used for security monitoring, compliance and customer support. Access to these logs is restricted to authorized personnel only. If an account is deleted, such logs are retained only to the extent necessary for legitimate security, compliance and support purposes.

8. Your rights

Under GDPR, you have the right to:

  • Access your personal data
  • Correct inaccurate information
  • Request deletion of your data
  • Restrict or object to processing
  • Withdraw consent at any time
  • File a complaint with the Danish Data Protection Agency (Datatilsynet)

9. Security

We use appropriate technical and organizational measures to protect your data, including encryption, access control and secure transmission protocols. However, no digital system is completely immune to risks, and users are encouraged to use secure devices and networks.

Please note that TalkiHand is not intended for storing sensitive personal data, such as:

  • Civil registration numbers (CPR/social security numbers)
  • Health or medical information
  • Financial information

We recommend that users avoid entering such information.

TalkiTale does not review or monitor user-entered content and cannot take responsibility for personal data voluntarily entered by users in violation of this recommendation.

10. Children and users with disabilities

TalkiHand is a special education tool designed to support communication for children and adults with communication disabilities. TalkiHand may be used as part of learning, communication and daily interaction.

Only the responsible owner of the word list and the users authorized by the owner can manage recordings, create or upload new signs and control who has access to shared word lists. Any image recording, video recording or other uploaded material is therefore submitted under the responsibility of the word list owner, who must ensure that appropriate consent has been obtained where required, for example parental or guardian consent for children.

TalkiTale does not collect data directly from children and does not contact users through the app.

11. Changes to this policy

We may update this policy periodically to reflect improvements or legal changes.
If significant changes are made, users will be notified via the app or email before the changes take effect.
